Q: Who contacts the employee? (new companies)
A: Generally referrals are made by the line manager or HR department.

Q: Can a company request a phone call with the OHP(Occupational Health Physician) before/after the assessment?
A: Yes. This is possible by arrangement. It is important to note this on the referral form.

Q: Where is the nearest female doctor located?
A: We have female doctors located throughout the country, please see the list of doctors on our website page (redirect link).

Q: What is the process for physiotherapy / counselling as recommended by the OHP?
A: We have arrangements with physiotherapists and counsellors and can organise these referrals on request.

Q: Can a company book ergonomic assessments though Cognate Health?
A: Yes, we can organise these as we work with specialist ergonomic providers.

Q: Can OHP/OHN attend onsite for vaccines?

Q: How does manager know when to book follow-up vaccines?
A: We will indicate this on the report from the first vaccine, and if you wish we would be happy to organise that appointment with your instructions.

Q: How does the employee get a copy of their report?
A: We have a process for this, where the employee fills out a data access request (insert link) .

Q: How long does a company have to wait for an appointment?
A: It depends on how quickly you want the person seen. We can facilitate urgent appointments or typically have someone seen within 48 hours.

Q: Can a company book a provisional appointment or get a selection of available dates?

Q: Can a company get confirmation of an appointment by letter?
A: We confirm all of our appointments by email.

Q: How long does a typical assessment appointment take?
A: Typically 30 to 45 minutes, though some more complex appointments may take longer.

Q: Can an employee bring a family member to the appointment?
A: If they feel the need for extra support, then this is possible.

A: Yes, you will be notified if the employee fails to attend the appointment.

Q: When can I expect the report?
A: We endeavor to deliver our reports back to you within 2-3 working days following the appointment. Some reports may take longer, for example, if we need to obtain further reports from other practitioners or are awaiting blood test results to allow us to obtain a more accurate picture of the situation.

Q: Need clarification on report eg. is the employee fit to work?

A: We will do this, if this is what you prefer. Some employers want this, some employers do not.

  • Data Migration
    Data is one of your organisation’s most precious resources. Ensuring accurate migration of existing data into the Meddbase system is a business-critical challenge that we have deep experience in helping our clients meet. The Data Migration Toolkit allows you to import data based on a range of field headers directly into the application. Whether bulk uploads of patient demographics, scanned documents, medical images or even full medical records. If you want to get really technical, you can push data directly to our data import service.

    Validation

    Validation of your data and how it is stored within our application is critical. Our import service creates reports based on your unique dataset and informs you of potential issues when importing. For example, invalid dates of birth, titles that do not match gender as well as a host of other useful information. If you do commit data by mistake, our undo feature allows you to roll back your import.

    Support

    We have a team of data experts with extensive experience in migrating data from a wide range of clinical systems, including DGL Practice Manager, Crosscare, Lumeon, TM2 / TM3 and many more. Our goal is to make the transition to Meddbase from your existing system seamless, smooth and uninterrupted.

    The portal provides patients with secure access to their health records 24 hours a day. It allows them secure access to a variety of the most requested patient-led features:
    • Search for availability using a range of filters
    • View slots by branch, doctor, specialism etc.
    • Book and cancel appointments
    • Make payments
    • Store card details on file
    • Complete online questionnaires & forms
    • Fill in health record & medical screening info
    • Manage prescriptions

    Giving patients access removes the burden of staff managing and booking appointments, as well as allowing patients to manage their bookings at a time suitable to them. Our standard patient portal allows you to customise for your brand and even provides a mobile reactive version for patients on the go. Our patient portal is built around our open and flexible API. Clients wishing to fully embed the tools into their own systems and website or who would like to offer a different user experience may make use of the API.

With our enterprise resource planning (ERP) toolkit you can match available resources according to skills and availability and with our powerful appointment search tool you will never miss a slot For those who require a more visual toolset, the side-by-side scheduler allows you to quickly and easily view availability at any site and with powerful filters for isolating specific locations, equipment and individuals required for care delivery. Where speed and maximum utilisation are the primary objective, the appointment finder is a powerful search tool. Find the next available time for an appointment, even if the appointment requires multiple attendees of varying skill sets. For geographically dispersed organisations, our integrated geolocation system will only present patients with slots that make sense for their location.

    Cognate Health is keenly aware of the rich ethnic diversity that exists in organisations in Ireland today. We reflect the diversity of our customers in our teams. Our clinical team and our wider OHP network come from and have worked in twelve different countries across the globe. We can provide consultations, both virtual and face to face in Spanish, French, Italian, Greek, Mandarin, Arabic and German.
  • What specific GDPR issues arise when supporting referrals in OH.?
    As a rule, medical or surgical procedures may not be conducted without the informed consent of the patient. In general, valid consent must be informed consent, where the patient has enough information to be able to understand what is proposed and the potential risks and benefits. The patient must have the capacity to make the decision and must be free to do so without threat or pressure from others. The Act sets out the principle that personal data shall not be kept for longer than is necessary for the purposes or purposes for which it is obtained.
    • For exposure to biological agents the recommendation it to retain individual confidential medical records for between 10 and 40 years, depending on the length of exposure and likelihood of a health and safety risk in subsequent terms.
